Position: Property Manager Trainee

Objective: The Property Manager Trainee is primarily responsible for assisting the Property Manager by maintaining the front office, advertising the available properties for rent, handling incoming inquiries regarding available properties, facilitating the application verification process, preparing rental agreement documents, and processing necessary paperwork. The responsibilities include maintaining supreme customer service standards and providing quality service with a strong commitment to the highest levels of professional and personal excellence to ensure high overall satisfaction and retention with Trio Property Management Inc. and our management services.

Supervisor: This position reports directly to the Operations Manager and works closely with Property Managers

Working conditions:

The property management office is a fast-paced environment which demands:

  • A thorough knowledge of the business, its properties, services, tenant policies and restrictions 
  • Accurate, courteous, efficient and diplomatic dealings with tenants, owners, vendors and subcontractors
  • Confidential handling of all matters whether it is regarding personal knowledge of owners, tenants, vendors, or subcontractors, or policies and procedures of the company
  • Work required includes routine walking, standing, bending and carryingitems weighing less than 50lbs
  • Must be able to move and install yard signs, walk up and down stairs and walk on uneven ground

Duties and Responsibilities:

  • Live the company’s core values daily
  • Maintain high customer service standards and quality service
  • Schedule advertising of available properties
  • Answer incoming calls regarding available properties or tenant issues
  • Facilitate application verification process
  • Handle completion of rental agreement paperwork prior to move-in
  • Perform periodic tenant correspondence / notices by email, letter or phone
  • Process maintenance work orders daily with weekly audits
  • Organize and maintain key systems
  • Coordinate lease renewal processes
  • Maintain organized office files
  • Perform periodic exterior reviews of vacant and occupied properties throughout the year
  • Take photos and videos of properties
  • Maintain working knowledge of Fair Housing laws, rules, and regulations
  • Successfully complete general assigned tasks
  • Perform work in accordance with established company policies and procedures and within the requirements of all applicable laws
  • Participate in continuing education
  • Work collaboratively with team members to achieve company goals

Minimum Requirements:

  • Must have reliable vehicle and valid driver's license
  • Must be able to work Monday through Friday
  • Must pass a background check and possible drug screening test

Other:

Complete other projects and duties as assigned by Property Manager and/or Operations Manager.

Skills and Special Requirements:

  • Strong customer service and sales skills
  • Excellent verbal and written communication skills with accurate spelling and grammar
  • High attention to detail
  • Strong computer knowledge with the ability to work with multiple programs open at once on multiple screens, experience with Word, Outlook, Excel, or equivalent programs, database programs, and typing keyboard skills
  • Interpersonal skills to work with many and diverse people
  • Ability to diffuse upset customers
  • Organized
  • Able to work unsupervised
  • Values performance feedback
